Sons of Italy Football Club Constitution

 

PURPOSE

1) To encourage and promote the game of soccer within the City of Hamilton and the Order Sons of Italy Canada

2) To follow and obey such rules and regulations as deemed necessary by our affiliations, within the interest of sportsmanship and fair competition.

3) To guide our actions based on the following principles:

a. Soccer means playing and playing means fun!

b. Being together with friends and family is most important!

c. Everyone is included as much as possible!

d. Win and lose with grace!

e. Respect for your teammates!

f. Respect the opponent and the referee!

g. Offer competitive and pleasurable soccer!

 

BY-LAWS

1. Sons of Italy Hamilton FC will hold an annual general meeting at the conclusion of each season (before November 30th of each year) with representation from all teams.

2. Amendments to constitution for the next season should be presented at the Annual General Meeting.

3. Sons of Italy Hamilton FC will hold a Player Membership Meeting in the month of February.

4. Amendments to constitution will be voted on at the February meeting.

5. The executive will hold meetings in April, June and Sept of each year before the Trieste lodge general meeting and at a time of their choosing if disciplinary meeting is required. Attendance at this meeting will include members from the Executive and Advisory Board.

6. All Sons of Italy Hamilton FC Teams are bound by the rules of any league / tournament in which they belong to or participate in.

7. Any team official or representative, unable to attend the team meetings due to special or unusual circumstances, must inform an executive member. Penalties resulting from consistent absences will be determined by the Sons of Italy Hamilton FC executive.

8. Team managers and coaches are responsible for enforcing league rules and discipline. If no action results from their efforts, then the team may be penalized and restricted from further play, at the discretion of the Sons of Italy Hamilton FC executive.

9. Any team or player misbehavior or misconduct that is seen as a threat to our club and the safety of the people involved will be removed from any further club participation and must pay for all fines or expenses incurred relating to that incident. Length of removal from club participation is at the discretion of the Sons of Italy Hamilton FC executive.

10. Notwithstanding discipline rendered by the any league or tournament in which the teams belong to or participate in, the Sons Of Italy Hamilton FC executive has the authority to discipline a team, a team official or players for actions deemed to be detrimental to the game or the Order Sons of Italy Trieste Lodge including the use of excessive violence with intent to injure an opponent by a player. Penalties are to be at the discretion of the Sons of Italy Hamilton FC executive.

11. If a player plays while under suspension, that player will be suspended for the remainder of the season by the Sons of Italy Hamilton FC.

12. Any dispute not covered by this constitution will be brought to the club executive for resolution.

13. If for some reason the Sons of Italy Hamilton FC were to cease to exist all financial holdings would be transferred to the Sons of Italy Trieste Lodge and donated through the lodge charity budget

14. At the conclusion of the November AGM all Team Managers, Coaching Staff and any Team Personnel are excused from their positions and the responsibilities for their respective teams.

  • - Intentions to remain in part of the team staff for following season must be expressed to the immediate Past President and President prior to the February Registration meeting.
  • - A proposed list of Team Managers, Coaching Staff and Team Personnel for the upcoming season will be presented and voted on at the February Registration meeting.

 

PLAYERS APPROVAL AND REGISTRATION

1) All team fees must be paid before registration is accepted.

2) Players must sign the Sons of Italy Hamilton FC Player Code of Conduct Contract at the time of registration

3) New player(s) must apply in person and produce two original pieces of documentation, including birth certificate, passport, drivers licence or pictured health card and including current mailing address before being registered.

4) The Sons of Italy Hamilton FC executive has the right to decline a player or team official application for registration

5) Player Registration books are held in trust by the team officials.

6) All Sons of Italy Hamilton FC members must be registered members (full or social) of the Sons of Italy Trieste lodge.

7) Players should exemplify the following 3 characteristics:

a. Satisfactory level of soccer playing ability for the team’s level of competition

b. Support the Sons of Italy Hamilton FC in their fundraising efforts

c. Positive influence to the team

EQUIPMENT

1. All equipment (including jerseys) supplied by the Sons of Italy Hamilton FC is on loan only and must be returned to the club when teams or players drop out of the Sons of Italy Hamilton FC. Any lost equipment must be replaced at the expense of the player.

This constitution was set up for individuals who want to play the game of soccer for fun and recreation. If you cannot follow our simple rules, this club is not for you.

EXECUTIVE AND ADVISORY BOARD ROLES & RESPONSIBILITIES

1. The executive board for the Sons of Italy Hamilton FC shall include the following positions:

a. President

  • - Chair executive and team meetings
  • - Review individual team budgets
  • - Bank account signing authority
  • - Provide updates to Sons of Italy Trieste Lodge
  • - Approval of new players
  • - Decision involving disciplinary actions

b. Past President

  • - Review individual team budgets
  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions
  • - Prepare Slate of candidates for the executive elections

c. Vice-President

  • - Review individual team budgets
  • - Bank account signing authority
  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

d. Treasurer

  • - Monitor Club Finances
  • - Review individual team budgets
  • - Bank account signing authority
  • - Collect and deposit player fees, club sponsorship
  • - Produce Annual Financial Report
  • - Pay club expenses
  • - Approval of new players
  • - Decision involving disciplinary actions

e. Recording Secretary

  • - Recording and distribution of meeting minutes
  • - Receive communications
  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

f. Director of Administration

  • - Collecting, storing and distributing team equipment
  • - Responsible for ordering team equipment
  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

g. Director of Discipline

  • - Monitor Old-Timer’s Suspension List
  • - Collect player fines from players and pay the Hamilton District Soccer League
  • - Co-ordinate & chair discipline meetings if required
  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

h. Director of Fundraising / Sponsorship

  • - Producing and distributing letters for sponsorship
  • - Chair Fundraising events and oversee fundraising committee

i. Associate Soccer Director (1 Position for each team)

  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

j. (Ex-officio) President of the Sons of Italy Trieste Lodge

  • - Attend executive and team meetings
  • - Approval of new players
  • - Decision involving disciplinary actions

2. The advisory board of the Sons of Italy Hamilton FC shall include the following positions:

a. Team manager from each team associated with the club

  • - Represent respective team at executive meetings
  • - Provide status update for respective team at executive meetings
  • - Raise discipline or team issues for respective team to executive
  • - Present new players to executive for approval
  • - Attend executive and team meetings

b. Head coach from each team associated with the club

  • - Represent respective team at executive meetings
  • - Provide status update for respective team at executive meetings
  • - Raise discipline or team issues for respective team to executive
  • - Attend executive and team meetings

c. Player Representative (appointed by the team) from each team associated with the club

  • - Represent respective team at executive meetings
  • - Raise discipline or team issues for respective team to executive
  • - Attend executive and team meetings

3. Election of executive (chaired by the immediate past president) will be conducted annually at February team meeting Slate of candidates for the executive elections should be decided at the end of season AGM

4. Nominations for the executive must be submitted to immediate past president before December 31st of each year.

5. The immediate past president will present the election slate of candidates before the end of January 31st

1. Club finances will be shared across all teams and distributed at discretion of the Sons of Italy Hamilton FC executive.

2. Team should submit a budget to the executive for approval at February general meeting

3. Teams operating outside their proposed budgets will be responsible for those costs

4. All of the money that is raised from fundraising events and corporate sponsorship is to be shared between all teams on the assumption that the effort put into fundraising effort is also equally shared.

5. Signing authority on all bank accounts requires 2 signatures at all times

6. Financial Report for the previous year will be presented at February team meeting
